Position Summary:

As a Contract Administrator, you will provide full administrative and operational support to the Contracts and Aircraft Delivery teams. This role requires a motivated professional who excels at managing complex administrative tasks while supporting contract execution, invoice processing, customer interaction, and internal coordination across departments.

Key Responsibilities:

  • Perform administrative support functions for the Contracts and Aircraft Delivery departments
  • Coordinate onboarding tasks including systems access, hardware setup, phone lines, and business cards for new hires
  • Manage office supply orders and hardware allocation
  • Assist with the preparation, processing, and tracking of purchase reports and invoices
  • Organize team meetings, publish follow-ups, and track action items
  • Support aircraft document preparation such as Warranty Bills of Sale, Power of Attorney, and Registration Applications
  • Input and track SAP-related tasks, including PR/PO/FRS for services and concessions
  • Assist in the delivery process, including ceremonies, gift sourcing, and customer aircraft model orders
  • Coordinate FedEx shipments and maintain shipping records in Smartsheet
  • Create and submit customer billing invoices and confirm payment status with finance teams
  • Perform Dow Jones screenings for Know Your Customer (KYC) processes
  • Participate in internal audits and special projects as assigned
  • Maintain accurate records, collect signatures for key documents, and support daily operational needs

Education Requirements:

  • Bachelor’s degree in Business Administration, Legal Studies, Management, Aviation, or related field preferred

Experience Requirements:

  • 2 to 4 years of professional administrative experience, preferably in aviation or aerospace
  • Familiarity with contract documentation, customer communications, and invoice processes

Required Skills and Abilities:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint)
  • Experience using SAP, Salesforce, or other CRM platforms is a plus
  • Strong written and verbal communication skills
  • Ability to interact professionally with customers, executives, and cross-functional teams

In this role, you’ll manage off-site maintenance and scheduling for our client’s fleet, ensuring safety, compliance, and operational excellence. This position is central to the coordination of maintenance activities, and it plays a vital role in ensuring the continued airworthiness of each aircraft.

Key Responsibilities

As an Aircraft Maintenance Controller, you will:

  • Liaise Continuously with outstation maintenance facilities to monitor aircraft status, total times, inspections, time changes, and work requests.
  • Provide Technical Assistance to maintenance employees and contract agencies to resolve complex technical issues.
  • Authorize and Track MELs, CDLs, and carry-over items; maintain thorough daily logs and troubleshoot documentation.
  • De-Brief Flight Crews and mechanics at the end of daily operations to identify and address maintenance needs.
  • Coordinate with Flight Operations to manage aircraft movement for scheduled maintenance, maintenance actions, and required downtimes.
  • Project Spare Requirements for all Rotable components and track delivery timelines.

  • Schedule Maintenance to comply with company requirements, ensuring all necessary parts and personnel meet the aircraft on time for “A” checks and other maintenance activities.
  • Make Final Decisions on line maintenance actions, ensuring timely and effective repairs.
  • Conduct Quality Control Reviews of deferrals from previous shifts for accuracy and completeness.
  • Update Operations and Quality Departments on maintenance status changes to ensure real-time aircraft status is communicated to Flight Operations, Crew Scheduling, Sales, and Quality Control.
  • Organize Maintenance Paperwork for Quality Control review, ensuring all documentation is complete and accurate.

Qualifications & Skills

  • Education: High School Diploma or GED
  • Licenses: A&P Certificate and a valid, unrestricted driver’s license
  • Experience: Minimum 2 years of experience in large fixed-wing aircraft maintenance. Boeing 727 and 737 experience preferred.

  • Participate in audits, process reviews, and continuous improvement initiatives
  • Assist in updating SOPs, training materials, and inspection protocols as needed

Daily Activity Breakdown

  • 10% Part and component inspection
  • 80% Assembly and final product inspection
  • 10% Process improvements, corrective/preventive actions, data process/analysis/reporting, and cross-functional collaboration

Qualifications

  • Minimum 3–5 years of experience in quality control or inspection in a manufacturing environment
  • Experience in power generation, diesel systems, or enclosure manufacturing preferred
  • Welding knowledge is preferred, especially in weld inspection
  • Proficiency in blueprint reading, mechanical drawings, and customer-supplied manuals
  • Ability to read and interpret measurements using rulers, calipers, and other precision tools
  • Skills in MS Excel and Word; experience with ERP systems (e.g., Epicor) and SharePoint is a plus
  • Demonstrated experience with Pareto charts, defect tracking, and process improvement initiatives is a plus
  • Excellent communication and problem-solving skills
  • Ability to write clear and effective corrective actions and follow through on resolution
